Privacy policy

What we collect about you, why we collect it, who we share it with and how long we keep it.

Who we are

Adhoc is run by LMN Couriers Ltd., a company registered in England and Wales (company number 08666485) whose registered office is at 90 Nelson Road, Gillingham, England, ME7 4LL. We are the controller of the personal data described in this policy.

If you have a question about this policy or about your data, email marian.nestorov@gmail.com or write to us at the address above.

Who this policy covers

  • Visitors to this website.
  • People who join the waitlist.
  • Couriers who register with Adhoc and are verified to take work.
  • Depots, and the people who use Adhoc on a depot's behalf.
  • Anyone who contacts us.

What we collect

When you visit the website

Your browser sends us technical information such as your IP address, browser type and the pages you ask for. If you accept analytics cookies we also collect how you use the site. Our cookie policy lists exactly what is stored.

When you join the waitlist

Your email address, the date you joined and the language you signed up in.

When you register as a courier

  • Your name, contact details, date of birth and photo ID.
  • Your driving licence and its categories.
  • Evidence of your right to work in the UK.
  • Your vehicle's registration, make and size class, and your hire and reward or courier insurance.
  • Your limited company number or your sole trader UTR.
  • Your bank details, connected through TrueLayer so that payments run bank to bank.
  • The jobs you accept and complete, your location while you are on a job, proof of delivery, and ratings and feedback from depots.

When you register a depot

  • The business's name, Companies House registration, address and site contact.
  • The names and contact details of the people who use Adhoc for the depot.
  • Your insurance, bank details and the payment terms you agree with us.
  • The jobs you post, and the feedback you give couriers.

When you contact us

Whatever you choose to tell us, and our replies.

Why we use it, and our lawful basis

  • To run the platform and pay people (contract): matching jobs to couriers, tracking jobs in progress and paying for completed work.
  • To verify couriers and approve depots (legal obligation and legitimate interests): right to work checks are required by law; identity, licence, insurance and business checks keep depots, couriers and parcels safe.
  • To tell you when Adhoc opens (consent): we send one email to the waitlist when couriers and depots can sign up. You can ask to come off the list at any time.
  • To keep the service secure and prevent fraud (legitimate interests).
  • To understand how the website is used (consent): only if you accept analytics cookies.
  • To keep accounts and tax records (legal obligation).

Identity documents can reveal special category data, such as a photograph. We use it only to confirm who you are, under the substantial public interest condition for preventing fraud, and we keep it no longer than we need to.

Who we share it with

  • Depots and couriers, as far as a job needs: a depot sees the name, vehicle and rating of the courier taking its job, and a courier sees the depot's address and site contact. Depots never see a courier's ID, licence or tax details.
  • Service providers who host the website and platform, send email, verify identity and documents, and process payments, including TrueLayer. Each one works under a contract that limits what it may do with your data.
  • Professional advisers such as our accountants and lawyers.
  • The police, HMRC, the Home Office or a court, where the law requires it.
  • A buyer of our business, if Adhoc is sold, on the same terms as this policy.

We do not sell your personal data.

Transfers outside the UK

Some of our providers store data outside the UK. Where they do, the transfer is covered by UK adequacy regulations or by the International Data Transfer Agreement or Addendum approved by the ICO.

How long we keep it

  • Waitlist emails: until we have told you Adhoc is open, or until you ask us to delete yours.
  • Courier and depot accounts: for as long as the account is open, then six years for records of jobs and payments, which we must keep for tax.
  • Right to work evidence: for the time you work through Adhoc and two years after.
  • Rejected applications: six months.
  • Analytics: up to 14 months.

Your rights

You can ask to see, correct, delete or move your data, object to how we use it, or withdraw your consent. Your data rights explains each one and how to use it.

Complaints

Please tell us first, and we will try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We will post any change here and update the date at the top. If a change affects you significantly, we will tell you by email first.
